Why you need a booking system

A nail technician explains how booking systems save time and money through client self-booking, automated reminders, deposits, and payment processing. The speaker walks through specific features that let you stop managing schedules manually and get paid upfront.
So now that you have got a sense of what a booking system can actually bring to your business, let's talk about making the most out of it. Booking systems do come with fees, so it's important that you are getting the biggest return on your investments and you're actually using all of its features to its full potential. Now, even when you're paying fees, you are still saving so much time overall and your time is worth money. So don't see these fees as a loss. You also might be tempted to just set one up for basic scheduling and then continue manually handling certain things. But using all of the features of a booking system offers can really, really help you to step up your game. So make sure that you do that. Every feature is there to make your life easier and the more features that you use and the less you let go of that control, the more streamlined your business is going to be. Now, I say this because I have worked with nail techs who have set up a booking system but still add the bookings manually. Them they might hold back the link and have clients message them to confirm just because they know how long is needed for each person or they don't want to set up or end up with small gaps. I've also known nail techs to have a booking system but not actually enable the deposits or the payments feature, thinking that they can just trust clients to show up. But here is the thing. By fully embracing the system, you are making sure that your business is as protected and efficient as possible. That is your main aim. It is time to let go of that control and just allow your business to work for you, not the other way around. One of the biggest features to use is client self booking. Letting clients book directly means that you are freeing up so much time I cannot say that enough. Think about it. They can choose the date, they can choose the time that works for them without you having to go back and forth and check messages constantly. You could be asleep and your column could be being filled. You can take time off without having to worry that you will have no bookings when you get back if you're not available to respond to messages. When clients have the freedom to book themselves, it also means that they are more likely to fit into your available slots rather than requesting specific times that you can't do. That really just helps you to stick to your boundaries. Because on messages or face to face, it is a lot harder to say no. When a client asks you for favours, you set your available hours and clients pick what suits them within those times. If it's not available, then it's not available and you'll be surprised how much clients will then adapt their own schedule to fit in with yours. It's a real game changer for both parties, so make sure you are using that now. Another feature I really encourage you to use is the deposits and the payments option. This isn't just a safeguard against new shows, it's also a way of reinforcing the professionalism of of your business. When a client is asked for a deposit, they are committing to that appointment. It makes them less likely to cancel last minute, which then gives you more stability and peace of mind. It can feel a little bit awkward at first, and I get that, especially if you are used to handling things a little bit more casually. But this one change can really protect your time and also protect your income. We'll talk about deposits and payments and things like that later on in the program, but for now it's important to remember that deposits are there to protect the client as well. It gives them peace of mind that their appointment with you is secured and that you're going to be there when you said you are. So don't just assume that clients don't want to pay a deposit. It also makes the appointment feel cheaper on the day when part of their appointment has already been paid. So there are so many pros for the client as well. And don't forget that or getting your own head about it. Automated Reminders these are also a game changer. So I used to spend time every single night personally messaging clients the night before their appointment to confirm that they were going to show up. But with the automated reminders that you can set up on your booking system, all of that is taken care of. So it gives clients a friendly nudge to keep their appointments and it also cuts down on the back and forth communication. Plus if they do need to reschedule, you'll just get a notification which makes it easier to manage your day. It's a small step that makes a big difference. Now if your system also has a feature for taking notes on client preferences, then use it. This can make clients feel so valued. So maybe they've got a favorite color or a specific nail shape that they love. Maybe they are going on holiday and you want to remember that when they next come in so that you can ask how it was or whether they had a good time. These details can all be saved directly in their profile or on their appointment notes. When clients feel remembered and catered to, it deepens that sense of connection and loyalty. So this is an amazing feature of your booking system and something you should definitely use. Also, if your system supports payment processing, consider using that as well for the whole transaction, not just for taking deposits. So by taking payments directly through your booking system, you're saving time on invoice and you're saving time at the end of the appointment when the client's fumbling around with cash. And you're also saving time on payment tracking. It makes checkouts really quick and seamless and it means you don't have to rush through payments whilst also giving clients your attention. So my advice is to give yourself permission right now to fully relax and rely on your booking system. Let it handle the admin work so that you can just focus on what you do best serving your clients. You are not just making things easier on yourself, you're building a smoother, more professional experience for your clients as well. So, in the next lesson, we'll look at choosing the right booking system for you.
