How AI Can Help You Focus on What Matters Most
26 Jun 2024 · 9 min
Brittany Long shows business owners how to use AI tools like ChatGPT and Claude to offload routine work. She walks through a time-study that reveals the hidden cost of doing low-value tasks yourself, then breaks down a "content machine" workflow that turns one transcript into social posts, blogs, and emails using Zapier and ChatGPT. Start small, hand off early, and focus on what only you can do.

The reason you have a full plate is that you're not letting go of the reins. And thrice ChatGPT can help. Recently, there's a friend I was talking to, and I say a friend, but really, this is a conversation that I've had many times with many different people at many different places in their business. And so what I'm about to tell you is not just for people that are beginners. This is not just for people that are in that messy middle. This is not just for people that have been in business for 10, 15, 20 years. This is literally for everyone. Let's jump into it. So recently I was talking to a friend and had her do a time study. She sent it to me and she was like, yeah, I'm just really busy. So I looked at the timesheet and she's definitely very busy. And so I had her say and tell me, what are the top priorities for you? What is it that you're working on? So she told me, and I looked at between her timesheet and what she told me, I realized there was a lot that she was doing that she didn't actually need to be doing. When we look at what's on our plate, you might think scheduling social posts, uploading blog posts, all of those things that might seem like those are things that you have to get done yourself. But at the end of the day, that's something that literally anybody could do. You could train somebody how to do it and they could take it over for you this afternoon, today, like, you don't need to continue doing the things that somebody else can do. And I know you might be thinking, well, Brittany, that sounds great, but I can't, because I can't hire someone for it. I don't have money to hire. That's fine, I get that. But how much are you paying yourself to do it? Because you're paying somebody to do it. At the end of the day, somebody's getting paid to do it. Or maybe not getting paid, I do it. But whether you're paying yourself and how much time you're spending on it or you're paying somebody else, if somebody's doing it, it's something that's a task that's being paid for. And maybe that's you're paying for it and you don't realize it's just what you take home every month. Maybe you're paying for it in time and you don't realize it, but either way, you're paying for it. If you're not hiring somebody, you're Paying for it. And so when I looked at what are the tasks that I'm doing, and I looked at all the tasks throughout the day for myself, this is a while ago now. And I realized, okay, I'm uploading. I'm creating the social posts and the graphics and then uploading them myself. I'm like, all right, if you're paying yourself, if you want to pay yourself, let's say I want to pay myself $1,000 an hour. And I'm doing these tasks that take me more than an hour, that means that all of a sudden my Pay goes from $1,000 an hour to $300 an hour. Okay, now I have a few more things I need to get done for this week. I need to upload a blog post. I need to respond to my inbox. I need to do X, Y and Z. All right, now that takes me four hours. Okay, so now instead of $1,000 app, $1,000 an hour, we have an extra 10 hours I've added to my plate in total. So now I'm paying myself a hundred dollars an hour. So even if it's only you doing it, you're still paying somebody for it based on time and on money. And so that's the first thing. The second thing I would say is that there's a lot that you might be doing that ChatGPT can do for you or Claude or Gemini. And what I see people doing a lot of times is they say it's just easier for me to do it myself, I can just do it myself, or it doesn't take me that long, I can just do it myself. The problem is it is taking you some time. And the even bigger problem is it will continue to take you that time. When you train someone, yeah, it's going to take you some time up front, but then it's not going to take you that time. In an ongoing sense, we have on my team, we have my, my right hand woman and I brought her on maybe five years ago. Now, four or five years ago, I have a ba, Judy, who has been with us for over two years. Now we have our writers who do copywriting reviews for AI 200k. They've been with us over two years. And then when we had the email marketing agency, they worked with us, worked for us, worked with us then too. And so all of everybody on my team has been with us for a while. Typically we hire slow and then if somebody's not a good fit, they're not a good fit and we move on. And that's Fine. And then the people that stay around long term, and we try to make it really incentivizing for them, we try to make it so that it's a really good environment. We try to make it so that if they need something, we're like, yeah, no problem. We try to be as supportive as we can because they've been supportive for us. And so I know that it can be scary to bring people on, but going to talk today about how you can use AI to help and how you can use AI to reduce your workload as well. So first, let's start about your workload. So one of the ways that AI can help is through content creation. But if you have used it at all for content creation, you probably know it sometimes sinks if you're just using it straight up. And it can take a lot of time. You have to do a lot of edits and stuff like that. So one of the things that we've been doing that has helped a lot is that we've created our own, like, content machine. So basically we connect zapier with chat GPT. I'm not going to get into all of that today because it's a little. It's not hard, but it's. When you're doing it for the first time, it can be complex and mundane because it's just like the same thing over and over again. And if it doesn't work, it's because you probably miss this up. And it may be hard to follow on a podcast, but I do have a training for that in AI 200k. With your content machine, though, you can set it up so that it has your voice through your transcripts, and then it cuts it into different things for you. Facebook posts, Instagram, LinkedIn, blog posts, email, et cetera. But it's all based on your transcript. So it's not like it's just taking from ChatGPT and creating something brand new. It's taking from your information and then creating something from there. And so that's what I would recommend, if you're wanting AI to help you with content, is to start with your transcript. And so all you really need to do as a business owner, what you need to do is to create one piece of content every week, every day, however long you want to do it. What I do is I'll do. I'll record an episode for each of my podcasts every day as I am after I drop my kiddo off for school. That's just part of my habit. And so I know that I'm going to do it every day. Because Monday through Friday, because Monday through Friday I drop her off at school. And so then every day I have some content. And now it's not a lot. It's. My podcast is five minutes long, sometimes seven, but it's just around there. And I just. That's it. That's just part of the habit. Every day now, when we're looking at hiring and just transition that. I just want you to see that you don't have to do everything yourself. But when you're transitioning to hiring, one thing I'd recommend is writing out. Here's what I think. I want people, I want somebody to do in this role. And you can even say, here's what's worked for us, here's what hasn't worked for us. Here's why I'm nervous. You can put all that information in there. You can have ChatGPT help you create an SOP for it. You can have it help you create a job description for it. You can help it even sort through candidates of. All right, here's what this person said that I liked. Here's what this person said that I liked. How do I choose which one? And it can help with all of that. Instead of making these decisions based on maybe something that is more objective, you can base it on something a little. Sorry, but instead of basing on something subjective, you can base it on something a little bit more objective so that it's less of a. Less of an emotional dis. Where you're just not sure exactly what to do there. And you can make it based on. Just based on the data, based on what you've said that you're looking for. It's a little bit easier, I think, that way. And so you can even have it help you with the training. So you can say, I want my team member to do these things for me. What kind of trainings do I need to create for them? Or what should I be looking for? What kind of feedback should I give them? All of those things are going to work for you in helping you hire the right person. But either way, if you take nothing else from this episode, I hope that you take that. The longer you wait to hand things off to a team member you already have and train them and give them feedback on what's working or not working, even though it might take some time there, the longer you do that, the longer you are delaying the growth of your business. And I'm not saying you have to hire a bunch of people or spend a ton of money, even just a few hours a week, takes it off your plate and gives it to somebody else so that you can grow that much faster. Even if that team member is AI, some kind of cat, GPT or quad or Gemini. The sooner you can start to take things off of your plate and realize that it is okay if things aren't a hundred percent perfect all the time, the easier it's going to be for you to grow and for you to thrive in your business without your schedule being completely packed. So if that's something that matters to you, then go for that. If you care more about having complete control, then ignore what I said this entire episode. But if you care more about growing and making money, then I would listen to this episode and take action on it. My name is Brittany Wong.
