How to Use AI to Better Communicate with Your Team

Brittany Long explains how to use AI (e.g., ChatGPT or Claude) to improve team communication. She recommends drafting the exact outcome you want, telling the AI what has failed previously, and (optionally) adding information about the other person's communication style or neurodiversity so the AI can tailor wording. She also shows how to paste unclear messages into the AI to extract the intended meaning and generate concise clarifying replies.

Have you ever hired someone that comes highly recommended, but then once they get into your business, it feels a little bit like there's some kind of barrier there. Like you're saying one thing, they're hearing another thing. You ask them to do something that feels really specific to you, but they do it completely different. You're tempted to just let them go and think, maybe this just person isn't as good as I thought they would be. But you wonder if maybe there's something else going on there. If you've ever had a hard time with communication, whether you feel like you're communication caning really clear and the other person doesn't, or vice versa, this is going to be the episode for you. I'm going to show you how to use AI to better communicate with your team. Now, you may be thinking, but Britney, this person is the one that's not communicating well, not me. I'm going to show you how to deal with that also. So the first thing that we're going to do is we're going to write down what we actually want to tell the person, the outcome that we want from this interaction. And so what you're going to do is open up ChatGPT or Claude, whichever one you're using or, yeah, a different one. If you're using a different one and you're going to say, I want to tell my team member this particular thing, the outcome that I want from this is. And then whatever the outcome is. So maybe the outcome is that you want them to create an image that has these particular words on them, that uses your brand voice, your brand colors, and then you're going to tell Chad, GPT or Claude what hasn't worked before. So if you've given a similar task and you haven't gotten what you wanted, you're going to describe what you got instead of and why it was different or how it was different than what you actually wanted. So let's say that this person has turned in images not using your brand colors. Maybe they're slightly or they're similar to your brand colors, but they're not your brand colors. And you've asked for it a few times and you're wondering what's going on here? Why do they, why are they continuing to not send me the correct thing? So telling ChatGPT what hasn't worked would look something like this. In the past, I've asked them to complete this task, but instead of using my brand colors, they're using colors that are slightly off from my brand colors. And I'm not sure what's going on or why that's happening. I want to make sure that I communicate that it's very important that we use the brand colors and that is a non negotiable. I want the exact image I'm looking for in my brand colors, then we're going to tell it what we want. So I want you to help me say this in a way that makes sense to this other person. Now, if you know anything about the other person as far as their personality goes or any kind of like neurodiversities they have, adding that kind of information might help also because it may cause ChatGPT to communicate slightly different in a way that is a little bit helpful, a little bit more helpful for that particular person's learning or understanding. For example, I get distracted really easily. If there's a long email that's sent to me, it's going to sit in my inbox probably for a while because it feels really overwhelming. Even if it's not, even if it's something that I love to read about and I, I want to know more about. So I know for me it's important that any emails that are sent are shorter bullet points if they're and have really only one focus at a time and then I can get it out really fast. But knowing those kinds of things, if you know them, putting it in there or even putting in what you maybe assume, like for example, if you're working with me and you're like, okay, when I send her a short email, I get an answer right away. When I send a longer email, it takes a little bit longer. If you've noticed those kind of things, you can put that in there also to give it more context. And that's it. Now let's say you send it to the person and they're like, okay, great. And then they respond back with something else. So you can put that into ChatGPT also and have it come up with a response for you there too. What I look for when I'm doing this is patterns. So what is ChatGPT doing that maybe I'm not doing if it's getting me better results than what I would send on my own? The other way that ChatGPT has helped me become a better communicator is that I find that when I'm more specific about what I want with ChatGPT, just like with a human, it'll give me a better output, it'll understand what I'm saying better. And so I get more what I want faster. When I'm very specific and when I'm clear on what I want. And so if you find that consistently you're not getting what you want, it could just be a matter of clarity. And so if you're also not getting what you want with ChatGPT, I would almost guarantee that it's a clarity issue. And so you can practice with ChatGPT to get more of what you want faster by being more clear, more succinct. And that can help, you know, greatly with your team, even with your spouse as well, if you have a spouse or a partner. Okay, now, I promise I would also tell you what to do if the person you're communicating with, it's just a really poor communicator. Now, of course, we can only change ourselves. We can only, we can only impact our own actions or change our own actions. Everybody's in charge of their own actions and stuff like that. But what we can do is we can gain some clarification around what they're saying with the help of ChatGPT. So if you're working with somebody that is a poor communicator or is really unclear, what you can do is copy and paste what they've said that is unclear to you, put it into ChatGPT, ask it for a way to ask for clarification in a way that is clear and gets you what you want a lot faster. For example, I've sometimes worked with folks who are a little bit unclear and they'll say something that makes sense in their head because they've already been thinking about all these things, but they give me only the last little piece of it. And I've done that with people also where I'm thinking about something. I do that with my spouse a lot. I'm thinking about something, and then I'll just say the last part of what I'm thinking about out loud. And he'll be like, wait, what are we. I thought we were talking about this. And if you are experiencing that with somebody on your team, you can put in what they said and then say to chat, I want to make sure we're on the same page, but I'm not really sure what this person's talking about or exactly what they want me to do because it seems a little bit unclear. Can you pull out the information that you think they're trying to give me and then rephrase it in a way so that I can make sure I'm understanding? I want to send an email back to them that's a clarifying email that gets to the point and will help me better understand what it is that they're saying. I'd also like some suggestions for how I can ask for clarification earlier on in the project. All right, that's it for today. My name is Brittany Long.
