11 Jun 2024 · 9 min
Podcast episode by Brittany Long (June 11, 2024) demonstrating how AI tools (ChatGPT, Claude, Gemini/Google) can save time and reduce the mental load for mothers who are entrepreneurs by handling vacation/event planning tasks. The host walks through a beach-vacation example: generating an inclusive itinerary for a family with a four-year-old, creating packing lists, recommending restaurants, detailing on-site activities, suggesting car/plane games, identifying potential obstacles and mitigations, and proposing snack ideas—allowing the planning workflow to be completed in ~20–30 minutes instead of days.

One of the really interesting things for moms who are also entrepreneurs is that there's this whole side of business that you can use AI for, but there's also this whole side of motherhood that you can use AI for too. And before you come at me with pitchforks, motherhood, when I'm talking about that, I'm talking about the stuff that takes a really long time and a lot of mental energy and it doesn't enhance your relationship with your child. Like if you did it versus someone else did it for you, it wouldn't matter to them, it wouldn't make or break anything, it wouldn't strengthen your relationship together, it would only stress you out. And one of those things for me is planning any type of event, I don't know why, or even events, vacation. I just, planning is not my forte. It's not something I enjoy. And so while I can do it, I would prefer not to if possible, or I would and, or I would ask for, or I'd prefer having help from AI. And so that's what we're talking about today is getting AI's help to plan a vacation, plan an event. We're going to actually focus on a vacation today. So recently we went to the beach for a beach vacation and this is some of the ways that ChatGPT helped me plan it. Now, normally I'm not the planner in our family because I don't enjoy it. My husband normally plans out our trips, our vacations, but I know that he doesn't want to do it all the time either. And for this one, a few ways that I use ChatGPT the first way was figuring out what we could do every day. Now we have a four year old and what we plan might be, might look a little different than what we normally would do if it was just my husband and I. And so I'm looking at what are some activities that we can do that everybody's going to love, not just one person, not just the other two people, but everyone. So I went to Chat GPT and Claude and I said, here's what I'm looking to do. This is the outcome. I want, I want to go on a beach vacation that everybody loves. And then I explained who was in our family and the ages and some of the things that each of us loves. We love our. My daughter loves going to the beach, but my husband and I don't really enjoy the beach quite so much. We like going to, my husband and I like going to museums, but my daughter doesn't enjoy that quite as Much. So I went through all the things that all of us like to do and didn't like to do. And then I asked it to come up with an itinerary that would suit everyone, something that everybody could enjoy. And if there's something that needed tweaking, like we could go to the beach and maybe be, bring a beach umbrella and that would be something that we would enjoy more. We just don't like being burnt to a crisp even with sunblock because we live in Florida. We wanted something is something that's simple like that A simple tweak like bringing the beach umbrella can make a big difference for how much we enjoy being at the beach. And so it came up within its itinerary for us. I think it was a four or five day itinerary. Told us exactly what to do on every day, gave us suggestions for getting out of the, getting out of the heat, do something different. We even went ice skating one of the days. And that's something I don't think I would have really considered doing in Florida. And so it was perfect. It was exactly, it was just perfect. And so we really enjoyed it. So the first thing ChatGPT helped us do was plan the itinerary next. After we did that, I asked it to come up with a packing list for everyone and our family again specifying what we like, what we don't like. After that I wanted to come up with the restaurants that we'd go to. So from there I went to Gemini, G A M I N I which used to be called Bard and that's like Google's AI version. And so we went to that and they asked it for the best restaurants in the areas that we were going to be. Now with some of the Google updates, you can actually just go straight into Google and ask that and it's going to give you an AI recommendation list. And if you're keeping track right now we have the itinerary, we have the packing list and we have the restaurants that we want to eat at. The next thing I can do is ask it to help us orchestrate specific experiences. So not just we're going to the beach, but then specifically what are we going to do at the beach? So this is more of a detailed itinerary. Sometimes when I go to do things I'm like, okay, we're here, now what? And so doing that where I didn't have to think about it was really helpful. I also got ideas for car ride games and other activities to keep my little one and enjoying the ride. We did have a few hours to drive. We've also done this for plane rides as well where ask for games and activities that we can do on the plane that don't require a lot of extra things for us to bring. Next I asked for potential obstacles. So what are the times and places and things that might make it a little bit more difficult for us to enjoy it? For example, if one of us is hungry that might impact how much we can enjoy the trip. We're driving and you know, we're sort of hangry, we haven't for lunch yet, something like that. So I'm looking for what are the potential problems that we could have on this trip and how can we mitigate those as soon as possible, as quickly as possible. Bringing to kind of that just to make it a really nice trip without hiccups. And I know that that might sound a little bit extra but you're here cuz you're a mom and I'm guessing you have probably experienced a meltdown at some point and you know what I'm talking about. So I'm looking for ways I can reduce that. And honestly if I wasn't using AI I wouldn't even get to this point because I would be so stressed with figuring out the itinerary and planning it out so that I'm able to kind of think and be proactive instead of reactive. Makes a big difference if for no one else it makes a big difference for me. I'm able to stay within my zone of tolerance which is basically that area where you can things happen or you can experience things and you can feel like okay, I have the tools in my tool belt to react in the way I want to react or to behave in the way I want to behave because not stretched outside of my comfort zone too much. And we always want to kind of expect zone of tolerance so that we can kind of handler as it comes up. Ever found yourself like snapping and you're like why did I just do that? You probably experienced being out of your zone intolerance. Typically for me that happens when I have had a really long day or when fight like I'm going to doctor's office. I had a cancer scare a few years back. Well quite a back now. But it I still find myself feeling, you know, a little just and overwhelmed sometimes when I'm heading to the doctor's office that day just of the experience from you know, that cancer. And so typically for me if I find that I'm snapping or something like that, it's usually it's Been a long day, I'm behind on stuff. I've been to the doctor's office, you know, those things. And so if I know that, I know I'm going to maybe be on the side of my zone of tolerance today. How can I set up myself up for success? Recognizing when I need to take a break by recognizing, um, you know, need some extra support. Uh, for me, it's like I, I, you know, getting your hugs that day and making sure that I eat right when I'm feeling hungry versus thinking, oh, I'll just finish this one thing that turns into nine things and then I'll get something to eat, you know, so it's putting those into place. Um, what I'm looking to do here is how can I put things into place to support us to have this possible trip situation isn't always ideal. Cause especially on vacations, that happens sometimes where, you know, the car down or something didn't go through or something's up or you lost a toy or, you know, there's different things that could happen. So we planned the trip, we planned the detailed experiences, we looked at any obstacles that might come up. We or we've figured out the packing list and figured out where we're going to eat. The last thing I'm going to do is use ChatGPT to help me come up with snack ideas that are going to be perfect for the car, perfect in the Airbnb we are staying in and ridiculously delicious. So that is the last thing I'm really looking for there. And we can just go and have a wonderful trip and I can have that done in about, you know, 20, 30 minutes instead of it taking literally days, which is what it would take me otherwise because I was second guess myself and go back and forth and back and forth and back and forth. So that is just another way that you can use AI this time we're talking about saving time and also that mental load. My name is Brittany Long. I'm the founder of AI to 100k and AI copy club.
